Purpose, Scope, Basis, Content and Definitions

Purpose and Scope

Article 1 –

 

 

(a) The purpose of this regulation is to regulate the principles regarding the publication of Van Dentistry Journal, which is the official journal of Van Yüzüncü Yıl University Faculty of Dentistry and is located within the Faculty of Dentistry.

(b) Van Dentistry Journal aims to encourage scientific research in the field of dentistry, to provide scientific knowledge sharing, and to contribute to dental education by publishing scientific studies in the field of dentistry.

(c) Van Dentistry Journal is published twice a year and may be published as a "special issue" by decision of the Publication Board. The journal is published in electronic format.

Basis

Article 2- This Regulation has been prepared based on Article 14 of Law No. 2547 on Higher Education.

Content

Article 3- The articles submitted to Van Dentistry Journal should be prepared using appropriate research, methods, and experiments in their field, should fill a gap in their field, should be based on research, and should not have been published anywhere before. Articles including basic science and clinical research in the field of dentistry and health, as well as reviews, case reports, and research articles, are published after a double-blind peer review process.

Definitions

Article 4 - In this regulation;

(a) Scientific Board: Refers to the teaching staff and/or scientists determined by the Editor and the Dean of the Faculty of Dentistry.

(b) Journal: Refers to the Van Journal of Dentistry.

(c) Publisher of the Journal: Refers to the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University, as the owner of Van Journal of Dentistry.

(d) Language Editor: Refers to the teaching staff and/or scientists who evaluate the articles submitted in Turkish and English in terms of language, recommended by the Editor of Van Journal of Dentistry and determined with the approval of the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University.

(e) Editor: Refers to the teaching staff member proposed by the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University and appointed by the Faculty Management Board.

(f) Editorial Board: Refers to the board consisting of the Editor, Assistant Editors, Statistical Editor, and Language Editor.

(g) Faculty: Refers to the Faculty of Dentistry of Van Yüzüncü Yıl University.

(h) Referee Board: Refers to the teaching staff and/or scientists who are competent in their field and have been involved in the scientific evaluation process of articles submitted to the journal, determined by the Editorial Board and Assistant Editors.

(i) Statistical Editor: Refers to the teaching staff and/or scientists who evaluate the articles submitted in terms of statistical analysis, recommended by the Editor of Van Journal of Dentistry and determined with the approval of the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University.

(j) Honorary Board: Refers to the board consisting of the Rector of Van Yüzüncü Yıl University, the deans who have served in the Faculty of Dentistry of Van Yüzüncü Yıl University, and the editors who have served in Van Journal of Dentistry.

(k) Assistant Editors: Refers to the teaching staff and/or scientists appointed by the Faculty Management Board upon the proposal of the Editor of Van Journal of Dentistry and with the approval of the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University.

(l) Editorial Advisory Board: Refers to the board consisting of the teaching staff members/scientists proposed by the Editor of Van Journal of Dentistry and determined with the approval of the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University, the managing editor, and the secretary.

(m) Managing Editor: Refers to the teaching staff member or academic staff member proposed by the Editor of Van Journal of Dentistry and determined with the approval of the Dean of the Faculty of Dentistry of Van Yüzüncü Yıl University, who is responsible for the official correspondence of the journal, keeping records, taking meeting minutes, and assisting the editor and the editorial board.

 PART 2

 

Functions of the Journal Bodies

 

Functions

 

Article 5- The bodies, individuals and their functions ensuring the operation of the journal are as follows:

 

(1) Honorary Board: Composed of the Rector of Van Yüzüncü Yıl University, the deans who have served at Van Yüzüncü Yıl University Faculty of Dentistry, and the editors who have served at Van Dentistry Journal. The Honorary Board contributes to the determination of the mission and vision of the journal.

 

(2) Publication Board:

 

(a) Composed of the Editorial Board Members and Assistant Editors serving in the journal, teaching staff/scientists recommended by the Van Dentistry Journal Editor and approved by the Dean of Van Yüzüncü Yıl University Faculty of Dentistry, the managing editor, and the secretary.

 

(b) The Publication Board is administratively under the supervision of the Dean of the Faculty of Dentistry.

 

(c) The chairperson of the Publication Board is the Editor.

 

(d) The term of office for the Editor is 3 (three) years. The Editor may be reappointed by the Dean at the end of their term.

 

(e) The other members of the Publication Board, except for the Editor, have no specific term of office. Publication Board members who resign of their own accord, do not attend at least half of the meetings within a year, or attend meetings but neglect their duties and responsibilities may be dismissed from their membership by the Dean of the Faculty of Dentistry.

 

(f) The Publication Board meets at least three times a year for each issue to be published, at least once. The Editor may call an extraordinary meeting if deemed necessary.

 

(g) Publication Board meetings are held under the chairmanship of the Editor, regardless of the required quorum. All members of the Publication Board are obliged to attend these meetings. The Editor may invite individuals outside of the Publication Board members to the meetings for their opinions.

 

(h) The Publication Board contributes to the selection of teaching staff who will serve in the peer review process of the articles submitted to the journal.

 

(i) The Publication Board conducts work to ensure the acceptance of the journal in national and international indexes.

 

(j) The Publication Board decides on the publication of a special issue.

 

 

 

 

Editorial Board:

(a) The Editorial Board consists of professors, associate professors, assistant professors, experts, and doctoral researchers who have qualified scientific works in their fields, and who are involved in the peer-review process of articles submitted to the journal.

 

(b) The reviewers examine the submitted articles in terms of methodology, content, and originality and decide whether they are suitable for publication.

 

(c) Reviewers are responsible for completing the evaluation of the articles sent to them within a period of fifteen days.

 

(d) Articles submitted to the journal are peer-reviewed according to their content and expertise areas. Reviewers who accept to review the work commit themselves not to use the evaluated work for their own benefit, and not to share any information or documents related to the work with a third party.

 

(e) The double-blind review method is used during the evaluation process of the articles submitted for publication in the journal. In this method, the identities of the authors and reviewers are hidden. At least two reviewers are required to evaluate a work.

 

Editorial Board:

(a) The Editorial Board consists of the Editor, assistant editors, language editors, and statistical editors.

 

(b) The number and members of the Editorial Board are determined by the Dean of the Faculty of Dentistry at Van Yuzuncu Yil University, taking into account the recommendations of the existing Editorial Board.

 

Editor:

(a) The Editor is an academic staff member or a qualified scientist who is recommended by the Dean of the Faculty of Dentistry at Van Yuzuncu Yil University and appointed by the Faculty Board.

 

(b) The Editor's term of office is three years. After the term of office expires, the Dean may reappoint the Editor.

 

(c) The Editor ensures coordination among the members of the Editorial Board.

 

(d) The Editor conducts the preliminary evaluation of the articles submitted to the journal and directs them to the relevant Assistant Editors if they are deemed appropriate according to the journal's publication principles.

 

(e) The Editor returns the articles that are not deemed suitable for the preliminary evaluation to the author for the necessary corrections.

 

(f) The Editor ensures that the entire editorial process is carried out in accordance with the principles of confidentiality and impartiality, and is responsible for the publication of the journal in a timely, scientific, and technically complete manner.

 

(g) The Editor gathers the Assistant Editors at regular intervals to evaluate the suggestions received and to solve the problems related to the functioning of the journal.

 

(h) The Editor ensures that records of each stage of the process are kept and archived.

 

(i)             The final decision on the publication of scientific studies submitted to the journal is made solely by the Editor.

 

 

6) Assistant Editors

 

(a) Assistant Editors are appointed by the Faculty Management Board upon the recommendation of the Editor, with the approval of the Dean of the Faculty of Dentistry at Van Yüzüncü Yıl University, and they are faculty members and researchers.

 

(b) Assistant Editors are responsible for carrying out all tasks assigned by the Editor.

 

(c) Assistant Editors evaluate the articles sent to the journal based on the criteria of the journal, language, and scientific quality.

 

(d) Assistant Editors provide feedback on articles that they do not find suitable in the evaluation process, suggesting that they be returned to the author for necessary corrections or directly rejected.

 

(e) Assistant Editors who find the works appropriate in their evaluation take part in the evaluation process and choose at least 2 referees from different institutions.

 

(f) Assistant Editors are responsible for submitting the referee suggestions for each article to the Editor within five days.

 

(g) Assistant Editors follow the evaluation process by communicating with the referees approved by the Editor for the evaluation of the articles.

 

(7) Scientific Board

 

(a) The Scientific Board consists of faculty members and international qualified researchers appointed by the Dean of the Faculty of Dentistry at Van Yüzüncü Yıl University upon the recommendation of the Editor.

 

(b) The Scientific Board provides feedback on the vision and mission of the journal.

 

(c) The Scientific Board carries out tasks assigned by the Editor.

 

(8) Managing Editor

 

The Managing Editor is a faculty member or academic staff member recommended by the Editor of the Van Dentistry Journal and appointed by the Dean of the Faculty of Dentistry at Van Yüzüncü Yıl University. The Managing Editor is responsible for the formal suitability of the papers, page layout, conversion to the required formats (pdf, ps, html), framing of the images of accepted papers, preparation of the typesetting of accepted papers, checking the first and second printings after typesetting, and correcting spelling mistakes.

 

(9) Secretariat

 

(a) The Secretariat is appointed by the Dean of the Faculty of Dentistry at Van Yüzüncü Yıl University upon the recommendation of the Editor and is responsible for the journal's official correspondence, record-keeping, recording meeting minutes, and distributing them to the editorial board.

 

(b) The Secretariat assists the Editorial Board in technical matters and follows up on papers.

 

(c) The Secretariat is responsible for preparing the journal for publication in technical terms.

 

(d) The Secretariat carries out the redaction of all accepted articles, reviewing them for compliance with spelling, grammar, and writing rules.

 

(10) Language Editor

 

The Language Editor evaluates the articles submitted by the Editor or Assistant Editors in terms of language (Turkish and English) and may undertake refereeing in cases where necessary.

 

(11) Statistical Editor

 

The Statistical Editor evaluates the articles submitted by the Editor or Assistant Editors in terms of statistics and may undertake refereeing in cases where necessary.

 

 

 

CHAPTER III

 

Spelling Rules and General Issues Spelling Rules

 

Article 6-

 

(1) Articles to be published in the Van Journal of Dentistry are prepared in accordance with the journal's spelling rules determined by the editorial board and published on the journal's website. However, they must comply with the following rules:

 

(a) Determined by the editorial board based on national and international current recommendations and reviewed annually at the beginning of each year and revised if necessary.

 

(b) Articles submitted for publication in the journal must be based on a well-defined problem, and the titles must be compatible with this problem. The resources used must be rich and adequate enough to reflect the scope of the study.

 

(c) The journal accepts articles in Turkish and English.

 

(d) Corrections may be made by editors and/or consultants if deemed necessary in terms of spelling rules in the articles.

 

(e) The compliance of the articles with ethical rules is the responsibility of the authors. The similarity rate with other scientific publications should not exceed 20%. However, the editor reserves the right to request an ethics committee certificate from the authors if necessary.

 

(f) Unaccepted articles will not be returned, and no fee or compensation will be paid for published articles.

 

(g) The scientific conformity of the articles is the responsibility of the authors. All authors must have scientific contributions in the submitted articles. The designated author must plan or perform the study, write or revise the article, and all authors must accept the final version of the article.

 

(h) The compliance of the articles with ethical rules is the responsibility of the authors. Attention should be paid to the following explanations in this regard:

 

(1) The journal accepts the compliance principle with the Helsinki Declaration principles for all studies that include the "Human" element. In such studies, authors must indicate in the "materials and methods" section of the article that they have conducted their studies in accordance with these principles and have obtained "Informed Consent" from the people who participated in the study and their institutions.

 

(2) If the "Animal" element has been used in the study, authors must indicate in the "Materials and Methods" section of the article that they have protected animal rights in their studies in line with the principles of the Guide for the Care and Use of Laboratory Animals (www.nap.edu/catalog/5140.html) and obtained approval from their institution's ethics committees.

 

(3) In case of case presentations, "Informed Consent" must be obtained from the patients, and the patient's identity must be kept confidential.

 

(4) If there is indirect/direct commercial connection or financial support for the study in the article, the authors must indicate this (or that there is none) on the presentation page.

 

(ı) All publication rights of the articles accepted for publication belong to the institution publishing the journal. The ideas and suggestions in the articles are entirely the responsibility of the authors.

 

Effectiveness

 

Article 7- It enters into force as of the date of its adoption by the Senate of Van Yüzüncü Yıl University.

 

Execution

 

Article 8- The provisions of this Regulation shall be executed by Van Yüzüncü Yıl University.
